7. INTERNATIONAL DATA TRANSFERS

Some of the third-party services used by GG Radio may process or store information outside the United Kingdom.

Where personal data is transferred internationally, we will rely on appropriate legal mechanisms and safeguards required under applicable UK data-protection law.

These may include UK adequacy regulations, approved contractual safeguards or other lawful transfer mechanisms used by the relevant service provider.

8. HOW LONG INFORMATION IS KEPT

GG Radio keeps personal information only for as long as reasonably necessary for the purpose for which it was collected and to meet legal or business requirements.

General enquiries and correspondence

Normally up to 12 months after the last meaningful contact, unless there is a reason to retain the correspondence longer.

Unsuccessful submissions

Submission materials will generally be removed after the submission process has ended, unless limited information needs to be retained for a refund, complaint, payment dispute, fraud-prevention or legal purpose.

Approved submissions and artist materials

Tracks, artwork, biographies and promotional materials may be retained for the duration of the relevant campaign and for a reasonable period afterwards.

Materials may be retained longer where the artist remains in radio rotation, appears in an Artist Spotlight, remains on a playlist, has continuing promotional activity or has granted permission for an ongoing feature.

Broadcast and promotional records

Records relating to broadcasts, artist permissions and published promotional activity may be retained for as long as reasonably necessary to document what was broadcast or published and the permission under which it was used.

Payment, refund and accounting records

These will be kept for the period required by applicable tax, accounting and legal obligations.

HMRC requires self-employed businesses to retain certain business records for specified statutory periods.

Marketing information

Marketing information is retained until you unsubscribe, withdraw consent where applicable or the information is no longer reasonably required.

Consent and permission records

These may be retained for as long as reasonably necessary to demonstrate the permission that was granted and to deal with future queries or disputes.

9. YOUR DATA-PROTECTION RIGHTS

Depending on the circumstances and the lawful basis being used, you may have the right to:

  • Request access to your personal information

  • Ask for inaccurate or incomplete information to be corrected

  • Request deletion of your personal information

  • Request restriction of processing

  • Object to certain uses of your information

  • Request data portability

  • Withdraw consent where processing relies on consent

  • Object to direct marketing

  • Complain about how your information has been handled

Not every right applies in every situation.

To exercise a data-protection right, contact:

ggaypemusic@gmail.com

We may need to verify your identity before completing certain requests.

Data-protection rights requests are generally required to be dealt with within the applicable statutory timeframe.

The ICO confirms that the rights available depend partly on the lawful basis being used, and the right to object should be clearly brought to people’s attention.

10. MARKETING COMMUNICATIONS

GG Radio may send newsletters, station announcements, artist opportunities or promotional communications where an appropriate lawful basis exists.

Where consent is required, marketing will only be sent after you have actively chosen to receive it.

Marketing emails will include an option to unsubscribe.

You may also request to stop receiving marketing by contacting:

ggaypemusic@gmail.com

Unsubscribing from marketing will not prevent GG Radio from sending essential communications relating to an active submission, campaign, payment, refund or enquiry.

11. CHILDREN AND YOUNG ARTISTS

GG Radio requires artists to be at least 16 years old to independently submit music through our artist-submission services.

Artists aged 16 or 17 may be asked to confirm that they have permission from a parent, guardian or authorised representative where this is reasonably or legally required.

GG Radio may request evidence of age, identity or appropriate permission before accepting, broadcasting or promoting a submission.

We may refuse or remove a submission where appropriate permission cannot be confirmed.

The age of 16 is a GG Radio service requirement. Separate UK data-protection rules apply to children’s personal information; for certain online services relying on consent, the UK GDPR threshold for a child giving their own consent is 13.

12. COOKIES AND WEBSITE ANALYTICS

GG Radio and its website providers may use cookies and similar technologies to:

  • Keep the website functioning correctly

  • Remember visitor preferences

  • Understand website traffic and usage

  • Improve website performance

  • Support security and fraud prevention

  • Measure marketing activity where permitted

Where required, non-essential cookies will only be used after appropriate consent has been obtained.

Further information can be provided through the GG Radio Cookie Policy and website cookie settings.

13. SECURITY

GG Radio uses reasonable technical and organisational measures to protect personal information against unauthorised access, disclosure, alteration, loss or misuse.

We also rely on established third-party providers to provide appropriate security for services they operate on our behalf.

However, no website, email service, payment platform or online system can guarantee complete security.

14. AUTOMATED DECISION-MAKING

GG Radio does not currently use solely automated decision-making that produces legal or similarly significant effects on artists or website users.

Music submissions are subject to human review where editorial or promotional suitability is being assessed.

15. DATA-PROTECTION COMPLAINTS

If you believe GG Radio has not handled your personal information correctly, please contact:

ggaypemusic@gmail.com

We will review your concerns and respond as soon as reasonably possible.

You also have the right to complain to the Information Commissioner’s Office (ICO), the UK’s data-protection regulator.

The ICO specifically recommends that UK privacy notices tell individuals about their right to complain to the ICO.

GG Radio may update this Privacy Policy when its services, website, technology, third-party providers or legal obligations change.
